# Internal Announcement Writer

Turns a change into an internal announcement people act on: what changed, who it touches, what to do by when, and where to ask.

## When to use

Use this skill when a team lead or manager must tell the company about a policy, tool, process, or schedule change and needs people to act by a date. Do not use it for external press releases, customer notices, or all-hands speeches.

## Workflow

1. Ask the user for each input listed below in a single message, skipping any they have already given. Where options are listed, offer them, but accept other answers too.
2. Reduce the change to one sentence that states what changes and the effective date.
3. Split the affected audience into groups and write the action each group must take, so no one has to guess whether it applies to them.
4. Order the actions as a numbered list with a date on each one.
5. Add a two-sentence reason and the contact point for questions, with an expected response time.
6. Trim the draft to the length limit of the chosen channel and write a subject line plus a shorter reminder variant.

## Inputs

- **The change** (longer free text)
- **Who is affected** (longer free text)
- **Action and deadline** (longer free text)
- **Where to ask** (free text, e.g. "Channel or person for questions")
- **Channel** (choose one: Email, Slack post, Intranet page, All-hands notes)
- **Tone** (choose one: Neutral, Warm, Urgent, Celebratory)

## Output

A subject line, the announcement body in the order headline, who is affected, numbered actions with dates, reason, and contact, then a short reminder variant.

## Prompt template

Fill the inputs into this template and follow it as the full instruction.

### Internal Announcement Writer

Write an internal announcement for a change my colleagues need to act on.

- The change: {{The change}}
- Who is affected: {{Who is affected}}
- Action and deadline: {{Action and deadline}}
- Where to ask: {{Where to ask}}
- Channel: {{Channel}}
- Tone: {{Tone}}

Open with the single sentence a skimmer must not miss: what changes and when. Then say who is affected, splitting groups when their actions differ, because a blanket "everyone" hides who really has work to do. Put the required actions in a short numbered list, each with its own date. Give the reason for the change in two sentences, since people comply faster when they understand it. Close with where to ask and when answers will come. Fit the length to the channel: a Slack post stays under 150 words, an email under 250. Give a subject line or headline too, and offer one shorter variant for a reminder a week later.

## Pitfalls

- Burying the deadline in the third paragraph, so readers finish the message without knowing when to act.
- Writing for everyone at once, which leaves each group unsure whether the action is theirs.
- Explaining the history of the decision at length before saying what changes.
